Efficient team meetings

The Innovation Department regularly introduces you to useful concepts and procedures for the workplace. 

This month, we’ll see how to hold interesting and productive meetings.

1. Organize the meeting: take care of all logistics (room reservation, IT equipment, flip chart, etc.)

2. Draw up and distribute an agenda to participants in advance so they can prepare, which will ensure meetings are productive.

3. Start and end the meeting on time: questions that have not been resolved can be carried forward to the next meeting.

4. Assign roles: make sure everyone is aware of their responsibilities and when they can contribute in order to structure the meeting effectively.

5. Start by taking stock with the participants: what did they find useful at the last meeting? What have they achieved since? What is the overall goal of the meeting?

6. Establish and review rules for the meeting: for example, indicate whether questions and comments are taken during the meeting or at the end, specify that the topics to be discussed are confidential. 

7, Summarize decisions and assign actions: make sure everyone knows what follow-up actions they have been assigned at the end of the meeting.

8. Evaluate actions: What did the team accomplish after the meeting? Were objectives reached?

9. Promptly distribute the minutes of the meeting to make sure that the people who have been assigned tasks have completed them. They serve as a reminder to everyone to check if assigned tasks have been completed. 

10. Also, not to foget: tidy up the meeting room. Clean the white board, place chairs back in their places and store computer equipment.

Reuniones de equipo eficaces

El Departamento de Innovación nos presenta regularmente nociones o procedimientos útiles en nuestro ambiente de trabajo.

Este mes, vamos a ver cómo realizar reuniones interesantes y que produzcan resultados.

1. Organice la reunión: Resuelva todas las cuestiones de logística (reservación de la sala, material informático necesario, rotafolio, etc.)

2. Establezca el orden del día: Proporcionar el orden del día con mucha anticipación permite que los participantes se preparen, lo que garantiza reuniones productivas.

3. Inicie y termine las reuniones a tiempo. Las preguntas que no se resolvieron pueden posponerse para la siguiente reunión.

4. Asigne las funciones: Asegúrese de que todos conozcan sus responsabilidades y su momento de intervención para estructurar bien la reunión.

5. Comience haciendo un resumen con los participantes: ¿Qué les pareció útil durante la última reunión?, ¿qué realizaron desde entonces?, ¿cuál es el objetivo global de la reunión?

6. Establezca y revise las reglas de base: Por ejemplo, indique si las preguntas o intervenciones se realizarán durante la reunión o al final, o especifique la confidencialidad de los temas tratados.

7. Resuma las decisiones y asigne las acciones: Asegúrese de que al final de la reunión todos sepan cuál es el seguimiento que se les ha atribuido.

8. Evalúe las acciones: ¿Cuáles fueron las realizaciones del equipo después de la reunión? ¿Se lograron los objetivos establecidos?

9. Distribuya el informe lo más pronto posible: Esto permite garantizar que las personas a quienes se les dio una función la cumplan. También les sirve a todos como recordatorio para verificar si las personas designadas han terminado su labor.

10. Y también, no olvides: Ordene. Limpie el pizarrón, vuelva a colocar las sillas en su lugar y guarde el equipo informático.
